Essence Head Spa – Service & Refund Policy 1. Scope & Appointment Confirmation • All services, descriptions, and pricing are listed on our website (www.essenceheadspa.com) and in the booking system. Booking confirmation indicates client has read and accepted this policy. • Clients must provide accurate contact information and agree to receive appointment confirmations and reminders via email or SMS. 2. Cancellation & Rescheduling Policy • More than 24 hours before appointment: No charge; full refund of any deposit or prepayment. • Within 24 hours of appointment start: Cancellation fee of 50% of the total service price applies. • No‑show: Full service price (100%) is charged. • Late arrival of over 15 minutes: May result in shortened service or treated as no-show—no refund is applicable. 3. Completed Service & Refunds • Services that are fully completed and without on-site dissatisfaction reported are non‑refundable. • Clients must express any dissatisfaction during or immediately after the appointment—ideally before leaving. • If no concerns are raised within 30 minutes of service completion, the service is considered accepted and final. • In case of genuine issues with service quality, we may offer a complimentary follow-up or repeat service, at management’s discretion 4. Product Purchases & Gift Cards • Unopened and unused products may be returned within 14 days of purchase in original condition and packaging—refunds issued via original payment or exchange via store credit. • Opened, used, or damaged items are non-refundable, except when defective. A restocking fee may apply (e.g., 25%) and remaining value credited in-store • Gift cards, pre‑purchased packages, and memberships are strictly non-refundable and non-transferable. Exceptions (e.g., expiration extensions) are solely at the management’s discretion. 5. Payment Policy & Fee Enforcement • Payment or credit card details collected at booking may be securely stored for enforcement of cancellation or no-show fees. • Fees may be automatically charged per policy terms to minimize manual follow-up and ensure prompt resolution . 7. Dispute & Complaint Process • Clients must submit any refund or service complaints in writing within 7 days of the appointment date. • Management will investigate and respond within 7 business days. • Complaints made after this timeframe without prior notice during appointment are considered waived.
